Position Summary:
The Staff Accountant plays a key role in supporting the day-to-day financial operations of the Foundation. This early-career position is ideal for an individual who is detail-oriented, eager to grow professionally, and passionate about the mission-driven work of community philanthropy. The Staff Accountant will assist with daily gift processing, weekly accounts payable processing, weekly grant disbursements, general ledger accounting, reconciliations, and financial reporting in support of accurate and timely financial management. This role will also support annual audits, propose process improvements, and provide solutions to internal clients and vendors.
Duties and Responsibilities:
To excel in this role, the ideal candidate must demonstrate proficiency in fulfilling each essential duty and responsibility. These include the following:
Core Accounting Functions
- Prepare daily accounting tasks, including journal entries, bank and investment reconciliations, and general ledger maintenance
- Assist with month-end and year-end close processes
- Support preparation of financial reports for internal and external stakeholders – this includes audit and 990 schedules
- Help ensure compliance with organizational policies, GAAP, and applicable laws and regulations
- Collaborate with other departments to provide financial data and insights as needed
- Participate in process improvement initiatives
- Pursue applicable professional development opportunities to maintain current knowledge and ensure compliance for the Foundation
- Perform other duties as assigned
Disbursements & Payables
- Complete payments and control expenses by receiving, processing, verifying, and reconciling invoices
- Prepare checks, wires, and ACHs
- Maintain vendor files, W-9 forms, and prepare 1099s
- Prepare and maintain accounting records for The Foundation, including but not limited to accounts payable, cash disbursements, journal entries, etc.
- Review accounting documents for accuracy, clarity, and compliance with Foundation policies and procedures, accounting standards, and relevant laws and regulations
- Monitor account balances, track expenses, and prepare analysis of accounts and related financial activity to produce monthly financial reports
- Research information to provide accurate and timely solutions to internal clients and vendors
Gift Entry & Donor Transactions
- Maintain constituent records and process contributions, including credit card transactions, check deposits, stock transactions, wires, and ACH transfers
- Create and send tax receipts and acknowledgements to donors
- Determine legal credit for gifts/payments and research donor or fund questions related to gifts, when needed
- Manage credit card donations and ensure compliance with security standards
- Support Foundant database to maintain best practices related to constituent records management, including data entry to ensure that the most comprehensive and up to date data is housed securely and correctly
- Evaluate incoming payments and documentation to ensure that necessary information is on file to support donor restrictions and proper accounting treatment
- Partner on any complex or unusual gift entry, as necessary

Education/Experience:
- Bachelor’s degree in Accounting required
- Minimum of 2 years related experience required. Non-profit experience a plus
- Experience with Foundant a plus
- Strong proficiency in Microsoft Excel
- Familiarity with fund accounting or grant management processes preferred
- Desire to grow professionally in nonprofit finance

Work Environment:
The Dallas Foundation supports a hybrid work environment where all employees are expected to work in the office Tuesdays through Thursdays, with optional remote work on Mondays and Fridays.
Microsoft Office applications form the primary digital workplace along with Foundant Technologies’ CommunitySuite, Grants Lifecycle Manager (GLM), and Scholarship Lifecycle Manager (SLM).
